Data processing agreement

This data processing agreement is part of coupehub's terms of service. It applies between the barbershop that uses coupehub (‘you’, the controller) and Meziani Solutions (‘we’, the processor).
Subject
When you use coupehub, we process personal data for you: of your customers and of the people who work in your shop. You decide what for and how; we process it only to make coupehub work for you.
Which data, and what for
Of your customers we process name, mobile number, email address, appointments (date, time, treatments, barber and status), notes, the number of no-shows, bans and whether they want reminders by WhatsApp. Of you and your barbers we process name, email address, working hours and time off. We do this to plan and manage appointments, enable online booking, send confirmations and reminders, and give you insight into your agenda and earnings.
Only on your instructions
We process the data only on your instructions: using coupehub and the settings you choose are those instructions. We don't use the data for our own purposes, don't sell it and don't use it for advertising. If we believe an instruction breaks the GDPR, we tell you.
Confidentiality
Everyone at coupehub with access to the data must keep it confidential, and has access only as far as their work requires.
Security
We take appropriate technical and organisational measures to protect the data. Among them: coupehub only works over an encrypted connection, we never store passwords readably, and our database and files are kept in the EU.
Sub-processors
You allow us to use these sub-processors: Cloudflare (hosting and storage, in the EU), Resend (sending email) and Bird (sending WhatsApp messages and SMS), and for WhatsApp messages Meta (WhatsApp). We tell you about a new sub-processor at least 30 days in advance; if you don't agree, you can cancel your subscription. With every sub-processor we agree terms at least as strict as these.
Outside the EU
If data goes to a country outside the EU, such as the United States, it does so only with appropriate safeguards: the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
Data breaches
If we discover a data breach affecting your data, we tell you without undue delay, and within 48 hours at the latest. We give you the information you need to report it yourself to the Dutch Data Protection Authority and, where needed, to your customers.
Requests from customers and barbers
If a customer or barber asks to see, correct or delete their data, coupehub helps you with it; where possible you can do it yourself in coupehub. If we receive such a request directly, we forward it to you.
Audits
We give you the information you need to show that these terms are followed. If you want an audit, we discuss it with you; it's at your cost, unless it shows we don't keep to these terms.
End
This agreement runs as long as you use coupehub. Until the end, you can ask us for an export of your customer data. Within 30 days after the end we delete your data, except what the law requires us to keep.
Liability
Liability is governed by our terms of service.
